User management: adding users

Invite a teammate to your organisation and check their invitation status.

Initial sample guide

This first article demonstrates the Foxie Help experience. Names and email addresses below are fictional. Your available actions depend on your role and organisation settings.

Before you start

You need a role that can manage invitations, such as Account owner or Admin. If you cannot see Users or Invite user, ask an administrator in your organisation for help.

Have your teammate’s first name, last name and email address ready. Decide which of the roles available to you is appropriate for their work.

Invite a teammate

  1. Open Users from the staff navigation. Check that you are working in the correct organisation.
  2. Select Invite user.
  3. Enter their First name, Last name and Email. For example, invite Alex Example at alex@example.com.
  4. Choose a Role from the available options. Read the description before choosing access for your teammate.
  5. Check the Invitation language. You can include a personal message and review the available reminder settings.
  6. Select Preview email if you would like to review the invitation wording, then select Send invitation.
  7. Read the result shown in the dialog. If sending fails or the result is still being checked, follow the displayed guidance before trying again.

Check the invitation

In Users, choose Pending and search by your teammate’s name or email. Open their user details to inspect the invitation and the actions currently available to you.

An invitation being sent does not mean the teammate has joined. They still need to follow the instructions in their invitation and complete the required sign-in or account setup.

If something needs attention

The email address already belongs to a user

Foxie offers to open the existing user. Use that record to preserve their history rather than creating a duplicate.

The invitation did not arrive

Check the email address, ask your teammate to check their spam folder, and inspect the invitation’s current delivery state. Use the resend or retry action only when it is available in their user details.

Invite user is unavailable

Check your active organisation and ask an administrator to confirm your access. This guide does not grant permissions or change organisation settings.

Keep access appropriate

Give teammates the access they need for their work. Review the user’s current role and status in Users when their responsibilities change.
